We only seek sensitive information where it is reasonably necessary for the service being provided or where you choose to provide it.

  • Transaction records
  • Business or organisation details where applicable

Payment information may be processed through third-party payment providers and CWH may not directly hold complete payment card details.

Information posted within an online community may be visible to other members. You should avoid sharing information that you do not want other community members to see.

  • From an NDIS plan manager, support coordinator or other authorised person where relevant

Where reasonably practicable, we will collect personal information directly from you.

Where information is collected from another person or organisation, we will only do so where reasonably necessary, authorised or permitted by law.

4. HOW WE USE PERSONAL INFORMATION

We may use personal information to:

  • Provide and manage our services and supports
  • Understand your goals, preferences and support needs
  • Assess suitability for particular services or activities
  • Develop appropriate support or activity arrangements
  • Communicate with you
  • Manage bookings and appointments
  • Process payments and issue invoices
  • Maintain service and business records
  • Provide NDIS supports where applicable
  • Communicate with authorised representatives or relevant support persons where appropriate
  • Manage workshops, events, retreats and community activities
  • Respond to questions, feedback and complaints
  • Improve our services and programs
  • Maintain safety and manage foreseeable risks
  • Meet legal, regulatory, insurance, accounting and business obligations
  • Protect the safety and wellbeing of participants, facilitators and others
  • Send marketing communications where you have consented or where otherwise permitted by law

We will not use your personal information for an unrelated purpose unless permitted or required by law or with your consent where consent is required.

5. SENSITIVE INFORMATION

Some CWH services may involve the collection of sensitive information, including information relating to health, disability, mental health, family circumstances or other personal matters.

We recognise that this information requires particular care.

We will only collect, use or disclose sensitive information where reasonably necessary for the purpose for which it was collected, where you have consented where required, or where otherwise permitted or required by law.

Where sensitive information is relevant to participation in a service or activity, we may use it to:

  • Understand support or accessibility requirements

  • Provide appropriate services or supports

We do not sell personal information.

We may disclose personal information where reasonably necessary to provide our services or operate our business.

This may include disclosure to:

  • Service providers who assist us in operating our business
  • Booking and scheduling providers
  • Website and technology providers
  • Accounting and invoicing providers
  • Payment providers
  • Email and communication providers
  • Online meeting providers
  • Event venues or relevant activity providers
  • Professional advisers
  • Insurers
  • Contractors, facilitators or specialist providers involved in delivering a service
  • NDIS-related parties where authorised and relevant to providing supports
  • Emergency services or relevant authorities where necessary for safety

We will only disclose information to the extent reasonably necessary for the relevant purpose.

7. THIRD-PARTY TECHNOLOGY AND SERVICE PROVIDERS

CWH uses third-party platforms and service providers to operate its business.

These may include, depending on the services currently in use:

  • Website hosting and website services
  • Google services, including scheduling or calendar functions
  • Xero for accounting and invoicing
  • Meta, including Facebook and Instagram
  • Email marketing platforms
  • Zoom or another online meeting platform
  • Cloud storage and document management services
  • Booking and payment platforms
  • Other technology providers used from time to time

Some third-party providers may store or process information outside Australia.

We take reasonable steps to select reputable providers and to use them in a manner appropriate to the nature of the information being handled.

Third-party providers operate under their own privacy policies and terms, which may apply to information processed through their platforms.

Where a service involves a third-party platform, you should review the relevant provider's privacy information where appropriate.

8. ONLINE SESSIONS AND RECORDINGS

Some CWH sessions, workshops or programs may be delivered online using platforms such as Zoom.

Where an online session is recorded, participants will be informed before or at the commencement of the session where reasonably practicable.

Recordings may be used for purposes communicated to participants, which may include:

  • Providing participants with access to a workshop replay
  • Delivering or supporting an online program
  • Educational or program purposes
  • Facilitator reflection
  • Quality improvement
  • Professional development
  • Other purposes for which appropriate consent has been obtained

Participants should be aware that where a group session is recorded, their voice, image, name or contributions may form part of the recording if they participate.

Where recording is optional, participants will be given an opportunity to decline recording where reasonably practicable.

Recordings will be stored and managed in accordance with the purpose for which they were collected and applicable privacy obligations.

9. COMMUNITIES AND SOCIAL MEDIA

CWH may operate communities through platforms such as Facebook.

Information shared publicly or within an online community may be visible to other members and may be subject to the privacy practices and terms of the platform being used.

CWH cannot guarantee the confidentiality of information voluntarily shared by you in an online community.

You should consider carefully what personal or sensitive information you choose to share in community spaces.

CWH may remove posts or restrict access to community spaces where reasonably necessary to maintain safety, privacy or community standards.

10. MARKETING AND COMMUNICATIONS

Where permitted by law, CWH may send information about services, workshops, events, programs or other offerings.

You may unsubscribe from marketing communications at any time by using the unsubscribe function provided or by contacting us.

We will not sell your personal information to marketers or other organisations.

11. COOKIES AND WEBSITE ANALYTICS

Our website may use cookies and similar technologies to operate the website, understand website usage, improve functionality and analyse traffic.

13. HOW LONG WE KEEP INFORMATION

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, or where we are required to retain it by law, regulation, insurance requirements, accounting requirements or other legitimate business obligations.

Different types of records may therefore be retained for different periods.

When personal information is no longer required and there is no legal or other legitimate reason to retain it, we will take reasonable steps to securely delete or destroy it.

You may request access to personal information CWH holds about you.

You may also request that inaccurate, incomplete or outdated information be corrected.

There may be circumstances where access cannot be provided or can only be provided in a limited form, where permitted or required by law.

16. CHILDREN AND YOUNG PEOPLE

Some CWH services, workshops, activities and communities may involve children or young people.

Where CWH provides services to a child or young person, we may collect information from and about the child or young person and their parent, guardian, carer or authorised representative where reasonably necessary.

We take additional care when handling information relating to children and young people and will manage that information in accordance with applicable privacy and safeguarding requirements.

Parents, guardians or authorised representatives should consider the information their child shares in online community spaces and should ensure that children and young people understand that information shared online may be visible to others.

17. NDIS PARTICIPANT INFORMATION

Where CWH provides supports to NDIS participants, we may collect and handle additional information relevant to the participant's support needs, goals, circumstances and funding arrangements.

This may include sensitive information where reasonably necessary to provide appropriate supports.

Information may be shared with an authorised nominee, parent, guardian, support coordinator, plan manager, relevant service provider or other authorised person where necessary and appropriately authorised.

CWH will only seek and disclose information reasonably required for the provision and administration of the participant's supports, subject to applicable law and consent requirements.

Participant information will be handled in accordance with applicable privacy obligations and relevant NDIS requirements.

18. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes to our services, technology, legal obligations or business practices.

The current version will be published on our website.

Where a change is significant, we will take reasonable steps to communicate the change where appropriate.
